Ivy Tech Community College of Indiana is Hiring a Remote Assistant Director of Events

The Position: The Assistant Director of Events serves as the main point of contact for internal and external clients who are utilizing Ivy Tech - Central Indiana's event facilities. They will guide clients through the event planning process with regard to Ivy Tech's capabilities and will coordinate with involved internal departments and external vendors. This person will complete all necessary entries for reservations, space planning, set up and audio-visual needs for external events. MAJOR RESPONSIBILITIES: Deliver guest-service excellence Engage in behaviors that create an inclusive environment in which all people are valued and supported. Go beyond the easiest or surface answer for a student, internal, or external customer, and get to the root cause of the problem, question, or issue to solve it as quickly and professionally as possible. Schedule, coordinate, and assist with special events hosted by clients Utilizing approved systems, complete the reservation, space planning, set up and audio-visual needs for all events. Serve as the onsite point-of-contact during external events Coordinate with internal departments to schedule event-related activities Prepare weekly event reports, assist in leading team meetings to review upcoming events Tour potential clients and detail facility capabilities Promote Ivy Tech facilities to special event organizations Keep event records Coordinate activities for high profile events with internal and/or the culinary program reservations for all activities that may be scheduled on campus. All responsibilities will be conducted within the parameters of the Family Educational Rights and Privacy Act (FERPA), other applicable regulatory requirements, and professional standards. REQUIRED EXPERIENCE AND SKILLS: •Must possess good customer service and organizational skills •Must possess good written and oral communication skills and be able to provide service over the phone, through email, Teams, or in person •Must be proficient with current hardware and software technology •Must be able to maintain professional relationships with peers and superiors •Ability to use discretion and confidentiality with access to sensitive data and local administrative access to all desktop equipment and data in the environment for the purpose of support •Must be dependable •Ability to stay calm in stressful situations •Ability to handle multiple competing priorities •Ability to create and maintain documentation •Must show initiative in all activities •Must be willing to seek and undertake additional training and/or earn industry standard certifications as needed •Must be physically capable of climbing ladders and lifting up to 30 pounds repeatedly •Must be willing to work nights and weekends as needed •Must be willing to travel as necessary •Experience in a higher education environment is desirable Minimum Qualifications: •Bachelor degree in English, Communications, Public Relations, Marketing, Liberal Arts, Event Management, Business Management, or a related field. •One to three years of related professional work experience in meeting and event planning Must demonstrate ability to promote an inclusive environment that reflects the broad diversity and backgrounds represented by our students and employees and which every individual feels respected and valued. STARTING SALARY RANGE: $55,000 - $65,000 (based on experience) CLASSIFICATION: E-1 Ivy Tech Community College is an accredited, equal opportunity/affirmative action employer.
